FT, Monday – Friday, 7:30 a.m. to 4:30 p.m. Position may require additional evening and weekend work on occasion. Must be able to travel to off campus sites and work offsite.

Summary: This position will manage all internal and external processes of scholarship & student award procurement and distribution while overseeing daily office operations of the foundation office suite. Responsible for supervising the foundation office assistant and student worker.  Internal process refers to all LCCC staff, faculty, students and campus related relationships and interactions while external refers to the scholarship donors, scholarship points of contact, and third- party scholarships available to students.  Reports directly to the Executive Director of Foundation.

This position is contingent upon funding through the Foundation Department.

Duties and Responsibilities:

Essential Duties (80% of Time)

  • Responsible for the professional development, evaluations and personnel matters relating to the Foundation Office Assistant and Student Worker for Office Support.
  • Through the Foundation Office Assistant, ensure the Foundation Office Suite has ample supplies and equipment to function at a high level.
  • Ensure the integrity of the Foundation Office Operations by making sure daily office procedures and protocols are followed as per our Timeline and Office Procedures Manual.
  • Maintain and consistently allow the Foundation Office Procedures Manual to evolve and refine.
  • Work in conjunction with the Executive Director of Financial Aid and other college leadership to select student scholarship and award recipients for all foundation funds.
  • Work in conjunction with the Executive Director of Financial Aid to have the general scholarship application ready for use by students applying to LCCC.
  • Work in conjunction with the Non-Credit department staff to select student scholarship and award recipients for all foundation scholarships.
  • Work in conjunction with the Early College/Dual Enrollment Office to select student scholarship and award recipients for all foundation scholarships.
  • Through coordination with the Foundation Board of Directors, research programs at LCCC lacking ample scholarship offerings and assist in the securing of funds to create new scholarships.
  • Promotion of Scholarships to internal and external customers. Including working with College Relations for hard and digital assets.
  • Emphasize and promote awareness for all external scholarship opportunities to LCCC students.
  • Organize and participate in student outreach programs to assure ample pools of students are eligible for scholarships and awards.
  • Create application forms and implement guidelines for new scholarships as needed.
  • Keep the LCCC website up to date with current scholarships and awards.

Other Duties (20% of Time)

  • Create scholarship & award fund agreements through conversations with donors.
  • Manage communication touch points with scholarship donors and points of contact as per the Foundation Stewardship Plan.
  • As directed by fund agreements, send payment reminders to scholarship points of contact.
  • Using Scholarship software, keep scholarship and award donors and points of contact up to date.
  • Maintains the financial aid module of the scholarship system and ensures pertinent functionality is implemented and tested.
  • Update fund balances in scholarship manager as needed to distribute to students.
  • Meet with Financial Aid, Non-Credit, Early College/Dual Enrollment, Vet Tech and other college stakeholder staff to discuss scholarship opportunities and fund balances as per the Foundation Timeline.
  • Work with admissions team to help them better understand scholarship opportunities for students applying to LCCC.
  • As necessary, work with College Relations to publicize scholarships and awards.

Qualifications Required:

 Education

  • Bachelor’s degree in a business-related field from an accredited institution

Certifications

  • Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)

Work Experience

  • Preferably, one year of experience or more in higher education, specifically dealing with scholarship management and/or distribution and financial aid.
  • Customer service experience in past roles is helpful.
  • Minimum of two years office administration experience.
  • Minimum of two years in a supervisory role.

Knowledge, Skills, Abilities

  • Past history of coaching and mentoring staff members.
  • Stay current with regulations and guidelines governing the distribution of grants from a charitable foundation and awarding of scholarships to post-secondary education students.
  • Must possess a high level of the following work skills and behaviors: teamwork, cooperation, initiative, customer service, high level of accuracy, analytical and problem-solving skills, excellent organizational, written and oral skills, ability to work in an office with frequent interruptions and commitment to continuous professional growth in skills and knowledge.

Physical Demands

While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to handle or feel; reach with hands and arms; talk and hear. The employee may regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.

The noise level in the work environment is usually quiet to moderate.
