Summary:
The Foundation Office Assistant provides administrative support and assistance for all aspects of the successful operation of the LCCC Foundation. The Foundation Office Assistant is directly responsible to the Scholarship Director of LCCC Foundation.
Duties and Responsibilities:
Essential Duties (80% of Time)
- Meets and greets all guest and staff visitors for department meetings.
- Prepares and processes all check requests, invoices, payment requisitions, payments and reimbursements.
- Schedules meetings and maintains the LCCC Foundation email, calendar, and contact list.
- Works directly with the Foundation Board of Director’s and its committee’s by sending invites, reminders, typing agenda’s, creating meeting packets and recording, typing and distribution of meeting minutes.
- Provide confidential communications with Foundation Board of Directors, scholarship applicants, and donors.
- Continually update and maintain the LCCC Foundation operations manual.
- Create and maintain relationships with donors, supporters and stakeholders of the LCCC Foundation as needed: Phone calls, emails and departmental communications as needed.
- Daily Mail. Pickup, deliver, process and log all daily mail for the LCCC Foundation.
- Assist with the creation of LCCC Foundation digital, print and other assets. Work with College Relations, Printing & Duplicating and outside preferred vendors as needed.
- Liaison with College Relations department to ensure informational materials and communications for the foundation, special events and alumni outreach are extended to all parties in a timely and accurate manner.
- Liaison with the Finance department, Business Office and Financial Aid departments to ensure accuracy of accounts and reports as necessary.
Other Duties (20% of Time)
- Prepare and distribute donor reports, more specifically, the year-end contribution statements, At A Glance reports and other annual donor communications.
- Main point of contact for the eft online giving portal. Work with the eft company to create online giving pages and registration links.
- Periodically review the LCCC Foundation website. Keep web pages up to date and current with helpful information and data.
- Maintain donor giving databases and attendance reports for all LCCC Foundation special events.
- Primary point person for all LCCC Foundation Special Event donor communications.
- Maintain LCCC Foundation office supplies and organize, order, and re stock when appropriate.
- Type scholarship fund agreements as needed.
- As needed, work with the Scholarship Director to send invoices for annual scholarship billing and create reports to send to Scholarship points of contact.
- Engages alumni and student ambassadors to represent the College at various fundraising events and develop opportunities for giving and to aid them in engaging with leadership and donors.
- Assists with special events planning, preparation, execution and day of set-up. Process online RSVP’s for LCCC Foundation events and room reservations when required.
Qualifications Required:
Education
- Associates degree from an accredited college or High School diploma and two years clerical office experience.
Certifications
- Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)
Work Experience
- Two years minimum work experience in an administrative/clerical role.

- Must have knowledge in office procedures and administrative work.
- Proficient in Microsoft Office and Google Workspace tools.
- Strong written and verbal communication skills.
- Strong customer service skills.
- Excellent organization, multi-tasking and time management skills.
- Ability to handle unexpected or changing situations, and effective problem solving.
- Must have the ability to prioritize tasks and manage competing deadlines.
- Must have the ability to work independently and with a team.
- Must have the ability to establish and maintain professional relationships with the Board of Directors and other inter-office departments.
- Must have the ability to exercise good judgement in decision making and confidentiality.
- Must possess a high level of data entry accuracy, excellent attention to detail, document preparation, editing and formatting, record retention and filing management, critical thinking, and commitment to personal growth in skills and knowledge.
Preferred Qualifications:
- Board of Directors and/or non-profit experience.
- Higher education experience.
- Bachelor’s degree from accredited institution.
Physical Demands
While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to handle or feel; reach with hands and arms; talk and hear. The employee may regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and distance vision.
Work Environment
The noise level in the work environment is usually quiet to moderate.
