Summary
Supports the Office of College Relations and Student Life with clerical and technical assistance, and overall coordination of projects and workflow.
Essential Duties and Responsibilities
- Maintains LCCC’s online Events Calendar and news sections of the LCCC website and other media websites as deemed appropriate. Gathers and compiles events for various calendars.
- Maintains media contact lists.
- Coordinates the acquisition of lists from external sources in coordination with other college departments. Maintains these lists for open house direct mail pieces and other recruitment activities.
- Post news releases to the web.
- Post events on the web.
- Monitors room requests from internal and external clients for the Schnecksville campus and communicates with clients regarding room reservation policy, in the absence of the Special Events Coordinator. Coordinates requests and serves as liaison as needed.
- Receives and directs callers and visitors to College Relations.
- Performs clerical support and routine office duties including prioritizing workload, updating the College Relations department calendar and scheduling meetings, ordering and monitoring supplies, and preparing projects as needed.
- Works with vendors to ensure timely invoices and with the Business Office for subsequent payments and appropriate budget adjustments.
- Assists with preparation and proofreading of College Voice and President’s Desk, as well as other print and digital materials, including ads, direct mail pieces, noncredit materials, credit catalogs, newsletters, external presidential reports, and program brochures.
- Archives College Voice and post to the web
- Assists with preparing for events and helps staff Foundation events.
- Coordinates and keeps updated college sponsorships and event documents.
- Maintains spreadsheet for sponsorships, tracks ad production, and serves as the contact for sponsoring agency.
- Reviews and maintains online library archive of LCCC ads and articles and prepares necessary information when requested.
- Assists with news conferences and community events including preparing media alerts, news releases, press packets, and room set-up.
- Assists with media buying process – sets up requisitions, POs, invoices, COs and processes paperwork required per media.
- Assists, as needed, with student workers.
- Tracks annual budget for the College Relations department, and completes requisition requests in Banner, and processes invoices.
- Coordinates placement of routine high school and college advertising in newspapers, yearbooks and sports programs.
- Coordinates advertising in special events program booklets.
- Prepares College Relations monthly credit card statement and tracks invoices and receipts.
- Provides support as needed for others in the department serving on Critical Incident Team, in case of a widespread crisis situation.
- Performs other duties as may be assigned by the executive director of college relations
- Tracks & Balances of the Student Life budgets
- Submits all requisition requests in banner for student activities, events, and supplies.
- Processes all invoices for student life & student clubs.
- Submits all “Request for Payments” for student life. ie – student payments, ordering supplies and services for student life.
- Receives the Student Life monthly credit card statement – reviews and prepares the report for the Executive Director of College Relations/Student Life. Contact the Director of Student Life regarding invoices or receipts (if needed).
- Receives the College Events monthly credit card statement – reviews and prepares the report for the Executive Director of College Relations/Alumni and Events Coordinator. Contact the Alumni and Events Coordinator regarding invoices or receipts (if needed).
- Provides support for all student life activities and events.
- Develops and maintains an operational manual.
- Performs other duties as assigned.
Qualifications:
Required
Education
- High school diploma/equivalent or Associate’s degree from an accredited institution.
Certifications
- Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)
Work Experience
- Minimum of two years of experience working in an office setting.
- Must have strong knowledge of various software platforms and ability to learn new technology.

- Ability to work with coworkers, students, alumni, contributors to the college, and the general public.

Physical Demands
While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee may regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
