Job Title: Academic Services Secretary

Classification: Dean Secretary/Financial Assistant - Full Time

Work Schedule: 35 hours per week, Monday through Friday 9:00 a.m. to 4:30 p.m.

Pay Rate: $11.51 to $15.50 per hour

FLSA Status: Non-Exempt

Summary

Manages the office of academic services. Provides clerical support to an employee group consisting of academic deans, coordinators, faculty, and other staff. Reports directly to the Dean of Curriculum/Director of Nursing.

Essential Duties and Responsibilities

  • Receives students and visitors at academic services reception desk.
  • Monitors deans' and faculty schedules and attendance.
  • Coordinates flow of word processing and duplication.
  • Manages records and nursing program, clinical, and student files.
  • Facilitates flow of information and forms between internal and external constituencies, including nursing agencies.
  • Assures confidentiality of materials.
  • Directs workload of student aides.
  • Oversees maintenance of equipment.
  • Processes book orders.
  • Inputs and accesses information utilizing SCT Banner.
  • Manages adjunct faculty contracts and other supplementary employment forms.
  • Assists with record keeping for restricted enrollment programs.
  • Assists with procurement of supplies.
  • Assists deans and coordinators with preparing schedules and budgets.
  • Assists deans with preparation of economic development reports.
  • Assists faculty with advisory committee mailings.
  • Performs other duties as may be assigned.

Qualifications

High school degree or equivalent required. Associate degree in Office Technology preferred. Minimum of two years' office experience. Excellent keyboarding and records management skills. Computer and word processing skills necessary. Excellent written and oral communication skills. Ability to be confidential in working with students, staff, and the general public. Ability to work in a stressful environment. Must have good organizational skills. Must possess a high level of the following work skills and behaviors; teamwork/cooperation; initiative, customer services, and commitment to continuous professional growth in skills and knowledge.

Physical Demands

While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee may regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

Work Environment

The noise level in the work environment is usually moderate.
